Job Overview

The Beeck Center for Social Impact + Innovation is looking for a culture-loving, people-centered candidate to fill our Operations Manager position. The Operations Manager will play a critical role in the growing Beeck Center team— taking our recruitment, hiring, retention, and talent growth to the next level, and incorporating industry-leading practices, while providing candidates and employees with an inclusive and welcoming experience. The Beeck Center hires throughout the year on a rolling basis to fill the approximately 12 staff roles, 20 project team members (including fellows, researchers, etc.), and 12 student analyst positions on the team. The Operations Manager will support other organizational initiatives and operations needs such as: center-wide learning & development; performance management; diversity, equity, inclusion, and belonging (DEIB) initiatives; and research on new platforms and policies.

A successful candidate will be detail-oriented and thrive in a collaborative environment. This position will require the ability to navigate competing priorities, engage various stakeholders, serve as a central node for the Center’s team, and synthesize complex information into streamlined communications. Work Interactions

The Operations Manager will directly report to and work in close partnership with the Director of Operations + Finance. This highly collaborative position will engage with the entire Beeck Center team including staff, fellows, project teams, and student analysts through recruitment efforts, onboarding/offboarding, performance management, and other engagements through the employee lifecycle. In particular, this position will coordinate closely with staff and project teams as partners in fostering talent at the Beeck Center. A successful candidate will also build relationships with other centers and contacts inside and outside of Georgetown University, sharing resources and leading practices.

 

Responsibilities

Recruitment Management – 50%

  • Partner with staff and project teams to build timelines and manage the end-to-end recruitment process
  • Build and refine recruitment documentation to support the needs of each recruitment cycle, embedding leading diversity, equity, inclusion, and belonging (DEIB) practices that acknowledge unconscious bias
  • Manage appropriate approvals and collaboration with the Director of Operations + Finance on budget and hiring documentation
  • Produce recruitment materials for prospective candidates in collaboration with hiring managers and other relevant team members and proactively cultivate diverse pipelines of candidates  
  • Coordinate with the communications team to post, promote, and support outreach efforts
  • Facilitate recruitment trainings and deliberation meetings with hiring managers and interview panelists
  • Continuously iterate on Beeck Center recruiting efforts through implementation of new research and staying up to date with Georgetown University policies and leading recruitment practices
  • Serve as the point of contact for communication with candidates

 

Onboarding, Offboarding and Term Renewals – 15%

  • Prepare, update, and maintain onboarding documents for new team members
  • Support administrative set-up to Georgetown University and Beeck Center platforms and systems (e.g., email, GDrive, Slack, Asana, listservs, etc.)
  • Schedule and lead onboarding sessions
  • Advise hiring manager on gathering role-specific onboarding information and drafting early priorities for position
  • Serve as point of contact for new team members, ensuring they are able to complete onboarding tasks and adjust into new role
  • Track and maintain contact with employees through the onboarding process and in advance of contract ending dates
  • Coordinate offboarding process for team members, including administrative closeout procedures, conduct exit interviews and socialize feedback

 

Performance Management and Career Development – 15%

  • Collaborate with stakeholders to update Beeck Center performance management documentation
  • Plan monthly learning and development initiatives; create and track career development opportunities
  • Develop and maintain template for team members to build out individualized performance metrics and goal setting
  • Align Beeck Center internal process to Georgetown University requirements and schedule
  • Document and track performance management process annual cycle and milestones

 

Organizational Initiatives and Operations Support – 10%

  • Research and embed DEIB principles into the team operations in coordination with larger University efforts; this can include training, open forums for discussion, demographic tracking, affinity groups, and other DEIB-related initiatives.
  • Lead research projects including University processes, platform selections and roll out, and other initiatives
  • Support other office operations as needed (ordering equipment, coordinating with facilities, etc.)

 

Community Building – 10%

  • Foster community within the Beeck Center team with a focus on remote and hybrid methods for day-to-day community building
  • Support coordination of Beeck Center retreats and “work weeks” bringing the pull team together in-person for work activities and social engagement
  • Organize and engage others in planning team social and career development events to celebrate milestones and continue to learn together

 

Required Qualifications

  • Commitment to advancing diversity, equity, inclusion, and belonging (DEIB)
  • Bachelor’s degree and 2-3 years of experience, or equivalent relevant work experience (i.e., each year of required education may be substituted with one year of relevant work experience)
  • Exceptional organizational, planning, and time management skills
  • High level of discretion and confidentiality 
  • Excellent oral, written, and interpersonal communication skills
  • Proven ability to work independently and make sound judgments on a day-to-day basis
  • Patience, diligence and resourcefulness in navigating complex bureaucratic processes
  • Familiarity with project management and collaborative platforms; and a quick learning curve to adapt to new programs (i.e., Asana, Slack, Google docs, Airtable)

 

Work Designations

This position has been designated as hybrid. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University.  Such review may necessitate a change to a position’s mode of work designation. The Beeck Center operates as a distributed team, with some team members working remotely and others working in-person in our Washington, D.C. offices. A distributed team means there will be heavy reliance on asynchronous communication channels such as Slack, Asana, and email while also having many meetings fully virtual or hybrid to include remote employees, using Zoom.

Beeck Center team members based outside the Washington, D.C. area are expected to travel to Washington, D.C. at least 2-3 times per year for retreats, work weeks, and other team activities. Non-local team members also often travel at their discretion for internal and external work-related events.

 

Salary, Benefits, and Employment Term

The Operations Manager is a full-time, two-year term. The salary band for this position is $65,000-$80,000, commensurate with experience, and includes full benefits.
