Job Overview

The Beeck Center is looking for a culture-loving, people-centered candidate to fill our Operations Manager position. The Operations Manager will play a critical role in the growing Beeck Center team, taking our recruitment, hiring, retention and talent growth to the next level and incorporating industry leading practices, while providing candidates and employees with an inclusive and welcoming experience. The Beeck Center hires throughout the year on a rolling basis to support the people operations and capacity needs of the approximately ~45 individuals. The Operations Manager will support other organizational initiatives and operations needs such as: center-wide learning & development; performance management; diversity, equity, inclusion, and belonging (DEIB) initiatives; streamlining and developing internal platforms and processes; as well as supporting general administrative and operational office needs.

A successful candidate will be detail-oriented and thrive in a collaborative environment. This position will require the ability to navigate competing priorities, engage various stakeholders, serve as a central node for the Center’s team, and synthesize complex information into streamlined communications. Within first six months, a successful candidate will be expected to:

  • Acquire a thorough understanding of Georgetown University policies and processes at the intersection with the responsibilities of this position
  • Support and roll out annual performance management and goal setting process, in partnership with Operations team members
  • Lead 2-3 recruitment processes for Beeck Center hires, making iterations to materials and processes
  • Become familiarized with ways to use data and technology to drive toward social impact including the specific programmatic priorities of the Beeck Center
  • Organize and facilitate 2-3 learning + development sessions

Work Interactions

The Operations Manager will directly report to and work in close partnership with the Managing Director, and will also work very closely with the Director of Operations + Finance. This highly collaborative position will engage with the entire Beeck Center team through recruitment efforts, onboarding/offboarding, professional development and performance evaluation, and other engagements through the employee lifecycle. A successful candidate will also build relationships with other centers and contacts inside and outside of Georgetown University, sharing resources and leading practices.

Work Mode Designation

This position has been designated as Hybrid. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University. With the hybrid designation, this role will be expected to work two (2) days per week from the Beeck Center’s two office spaces in Washington, D.C.: regularly from Georgetown’s Capitol Campus, and occasionally from Georgetown’s main campus. We prioritize spending time in person with our student analysts for collaboration and career development as well as building relations across the various other centers on campus.

The Beeck Center operates as a distributed team, with some team members working remotely and others working in-person in our Washington, D.C. offices. A distributed team means there will be heavy reliance on asynchronous communication channels such as Slack, Asana, and email while also having many meetings fully virtual or hybrid to include remote employees, using Zoom.

Responsibilities

Recruitment Management (50%)

  • Partner with hiring managers to facilitate and manage the end-to-end recruitment cycle for open positions
  • Build and refine recruitment documentation to support the needs of each recruitment cycle, embedding leading diversity, equity, inclusion, and belonging (DEIB) practices that acknowledge unconscious bias
  • Manage appropriate approvals and collaboration with Managing Director, Director of Operations + Finance, and Georgetown University HR team on budget and hiring documentation
  • Produce recruitment information for prospective candidates in collaboration with hiring managers, Director of Operations + Finance and other relevant team members; and proactively cultivate diverse pipelines of candidates  
  • Coordinate with the Communications team to post, promote, and support outreach efforts
  • Facilitate recruitment trainings and recruitment deliberation meetings with team members
  • Continuously iterate Beeck Center recruiting efforts through implementation of new research and staying up to date with Georgetown University policies and leading recruitment practices
  • Serve as point of contact for communication with candidates

Onboarding, Offboarding, and Term Renewals (15%)

  • Prepare, update, and maintain onboarding documents for new team members
  • Support administrative set-up to Georgetown University and Beeck Center platforms and systems (e.g., email, GDrive, Slack, Asana, listservs, etc.)
  • Schedule orientation sessions and arrange introductory meetings for new team members
  • Advise hiring manager on gathering role-specific onboarding information and drafting early priorities for position
  • Serve as point of contact for new team members, ensuring they are able to complete onboarding tasks and adjusting into new role
  • Coordinate offboarding process for team members, including administrative close out procedures, and socialize feedback for the rest of the team to make iterative improvements
  • Track and facilitate term renewals for staff extending the length of their term

Performance Management and Professional Development –  15%

  • Update Beeck Center performance management documentation
  • Develop and maintain template for team members to build out individualized performance metrics
  • Align Beeck Center internal process to Georgetown University requirements and schedule
  • Document and track performance management process annual cycle and milestones
  • Support + implement the rollout of performance evaluation process, including any group or individual retrospectives/follow-ups per said evaluations
  • Assess organizational needs and desires for learning + development topics, particularly in areas of growth as discerned from performance evaluation process
  • Curate ongoing and regular learning + development sessions, working with both internal university partners and external experts 

Organizational Initiatives + Operational Support (10%)

  • Research and embed DEIB principles into the team operations in coordination with larger University efforts; this can include training, open forums for discussion, demographic tracking, and other DEI-related initiatives.
  • Lead research projects including University processes, platform selections and roll out, and other initiatives
  • Serve as occasional secondary support for Director of Operations + Finance on procurement and finance support

Community Building (10%)

  • Foster community within the Beeck Center team with a focus on remote or distributed methods for day-to-day community building
  • Coordinate and provide operational support Beeck Center retreats
  • Organize and engage others in planning team social and career development events to celebrate milestones and continue to learn together

Qualifications

Candidates for this position must have: 

  • A commitment to contributing to a diverse, inclusive, equitable, and anti-racist workplace
  • 3-5 years work experience; with 2-3 of those years in recruitment, HR or people-centric position
  • Strong, demonstrable communications, outreach and engagement instincts and skills;
  • High level of discretion and confidentiality 
  • Proven ability to work independently and make sound judgments on a day-to-day basis
  • Patience, diligence and resourcefulness in navigating complex bureaucratic processes
  • Excellent research, writing, editing skills
  • Experience working with or managing colleagues and students with varying levels of work experience and professional backgrounds
  • Excellent oral, written, and interpersonal and communication skills
  • Exceptional organizational, planning, and time management skills.
  • A proactive mindset and ability to anticipate and trouble-shoot problems in advance
  • Familiarity with project management and collaborative platforms; and a quick learning curve to adapt to new programs (i.e., Asana, Slack, Google docs, Airtable)
  • Sensitivity to different working styles and makes concerted effort to foster collaboration and drive towards shared goals
  • Strong aptitude and intellectual curiosity to learn more

Salary, Benefits, and Employment Term

The Operations Manager is a full-time, two-year term. The annual salary band for this position is $65,000-$80,000, commensurate with experience, and includes full benefits.
